Operating within the education sector and the Small-to-Medium Business (SMB) market segment, the institution serves a growing community of students, parents, teachers, and administrators. Playway Education Center depends on two core digital platforms — its public website, which serves as the institution’s primary channel for admissions information and parent engagement, and its Student Management System (SMS), which coordinates student records, admissions processing, and day-to-day school administration — making dependable, secure digital infrastructure essential to its operations despite its modest size.
Customer Challenge
Both of Playway Education Center’s core platforms — the public website and the Student Management System — ran as a monolithic legacy application stack with specific operating system and software dependencies, hosted on aging, self-managed infrastructure. Every operational function was manual: database administration, software patching, backups, and issue detection all depended on ad-hoc human effort, with no automated safeguards. The environment offered limited reliability, no structured backup or recovery regime, no monitoring, and minimal security controls — despite the website serving as the school’s public face to prospective parents and the SMS holding sensitive student and family records.
In the short term, this legacy model exposed the school to unplanned downtime during school hours — when usage peaks — and to potential loss of student records with no tested recovery path. In the long term, the institution faced an unsustainable position: the maintenance burden of self-managed legacy infrastructure was growing, in-house cloud expertise was unavailable, and the environment could not evolve to support the school’s growing digital needs without a fundamental modernization of how both platforms were hosted, secured, and operated.
Partner Solution
Coresys Solutions delivered a targeted modernization of Playway Education Center’s legacy environment, systematically replacing self-managed infrastructure and manual operations with AWS managed services — right-sized for a small educational institution. Following an assessment of the
application architecture, dependencies, and usage patterns, the modernization strategy was designed in line with the AWS Well-Architected Framework, prioritizing simplicity, security, and cost-efficiency over unnecessary complexity.
Both workloads were modernized together: the WordPress-based public website and the SMS application, along with their shared system dependencies, were migrated to an Amazon Lightsail instance within the public subnet of a dedicated Amazon VPC, providing a managed, predictable-cost compute platform with the operating system flexibility the legacy stack requires. The most significant modernization step was the database supporting both platforms: the previously self-managed database was migrated to Amazon RDS for MySQL in a private subnet, eliminating manual database administration entirely while isolating sensitive student data from direct internet exposure. Container platforms (Amazon ECS/EKS) and serverless compute (AWS Lambda) were evaluated but deliberately not adopted — the monolithic architecture and persistent hosting requirement made a managed instance-based approach the most appropriate modernization path, avoiding a costly re-architecture the institution did not need.
Legacy manual operations were modernized end to end with native AWS services: AWS Backup replaced ad-hoc backups with automated, scheduled protection; AWS Systems Manager replaced manual patching with automated patch management; and Amazon CloudWatch metrics, logs, and alarms — publishing notifications through Amazon SNS — replaced reactive troubleshooting with proactive monitoring. Amazon S3 provides durable storage for backups and centralized logs, AWS CloudTrail maintains a complete audit trail of account activity, and security is enforced through AWS IAM least-privilege access controls with AWS KMS encryption protecting data at rest.

The modernization transformed a fragile, manually operated legacy environment into a managed, secure, and sustainable platform:
- Legacy Operations Fully Automated: Modernizing to AWS managed services eliminated every routine manual task the legacy environment depended on — database administration through RDS, patching through Systems Manager, backups through AWS Backup, and issue detection through CloudWatch alarms — removing infrastructure maintenance from school staff entirely.
- Reliable Availability for Website and SMS Alike: Replacing aging self-managed infrastructure with proactively monitored AWS services eliminated the unplanned outages of the legacy environment keeping the public website consistently available to prospective parents and the SMS reliably accessible to staff and teachers through the peak school-day window.
- Student Data Protected End to End: Automated backup schedules, durable Amazon S3 storage, KMS encryption at rest, and a database isolated in a private subnet replaced a legacy environment with no structured data protection — establishing tested, automated recovery for sensitive student and family records for the first time.
- Predictable, Education-Friendly Costs: The right-sized Lightsail-plus-RDS architecture, combined with CloudWatch-driven right-sizing, reduced total infrastructure and maintenance costs by an estimated 25% versus the legacy arrangement — proving that modernization to managed cloud services is achievable within a small institution’s budget.
